Setting the document language ensures that screen readers and text-to-speech tools pronounce words correctly and apply the right grammatical and spelling rules. Canvas Ally flags this error when a document’s primary language is not defined in Word. By following these steps, you will learn how to define the main document language, apply additional language settings for specific text, and verify that your file meets accessibility standards.
Understand Why Language Settings Matter
Screen readers depend on the defined language to pronounce text correctly and use the right voice profile. Without a set language, the software may misread words or switch between voices inconsistently, creating confusion for readers.
Setting the language also helps Word’s built-in spelling, grammar, and accessibility tools work correctly.
Step 1: Set the Primary Document Language

- Open your Word document.
- Press Ctrl + A (Windows) or Command + A (Mac) to select all text.
- Go to the Review tab.
- Select Language > Set Proofing Language.
- In the pop-up box, choose your document’s language (for example, English (United States)).
- Click OK to apply.
Step 2: Set Different Languages Within the Same Document
If your document includes text written in another language—such as a quote, title, or short section—you can assign a secondary language to that specific text.

- Highlight the text written in the other language.
- Go to the Review tab.
- Select Language > Set Proofing Language.
- Choose the correct language for that text (for example, Spanish (Mexico) or French (France)).
- Click OK to apply.
- Repeat for any other multilingual sections.
Tip: Screen readers automatically switch pronunciation when a section has a defined language, improving the listening experience for readers.
Step 4: Verify and Save
- Run the Accessibility Checker under the Review tab to confirm no contrast issues remain.
- Save your document.
