Overview
Have you ever opened a form and found that the field labels alone did not provide enough information for users to understand what information should be entered? Clear and descriptive tooltips help make forms more accessible by providing additional context for screen reader users and anyone completing the form.
Important Note About Using AI
While this process can save time and support consistency, the generated tooltips should always be reviewed to ensure they accurately reflect the purpose and requirements of each form field.
Before uploading content into Copilot, review the material carefully and remove any personally identifiable or sensitive information. Follow institutional policies and ensure student, employee, or protected information is removed or redacted before using AI-assisted workflows.
Step 1: Access Microsoft Copilot and Upload Your Form
Providing the form allows Copilot to review the field labels and generate a tooltip text based on the content of the document.
Note: Your form should have Adobe accurately placed form fields created before uploading to Copilot.
- Access your campus Microsoft Copilot account.
- Start a new chat.
- Upload the form by selecting the Attach button (paperclip icon) or by dragging and dropping the document into the chat.
- Copy and paste the prompt below.
Prompt
Create accessible tooltips for each form field listed below.
Requirements:
- Use a clear action verb at the beginning (for example: “Enter,” “Select,” “Describe”).
- Keep each tooltip concise and use plain language.
- Ensure each tooltip is fully understandable on its own (do not rely on surrounding instructions or group labels).
- Include all essential information inside the tooltip (for example: formats, required details).
- Follow WCAG 2.1 accessibility principles for screen reader users.
- Use consistent sentence structure across all tooltips.
- When applicable, include both singular and plural forms (for example: “a toe or toes”).
- Avoid unnecessary words or repetition.
- Write in sentence case.
Formatting:
- Do not use bullet points.
- Present each field label followed by its tooltip.
Step 2: Review and Apply the Tooltips
Human review helps ensure the tooltip text is accurate, complete, and appropriate for the specific form.
Instructions
- Review each generated tooltip for accuracy. Confirm that each tooltip makes sense when read independently.
- Verify that all required formats, instructions, and field-specific details are included.
- At this point, if the text is not accurate, add corrections by saying: Correct [insert incorrect text], to [insert corrections] or correct after you export the tips.
- Copy and paste the tooltips into a Notepad or into a Word document for easier copying and pasting.
- Paste the tooltips into the form using your form-authoring or remediation tool.
Important Reminder
While this method can significantly reduce manual effort, it is not perfect. AI-generated tooltips may occasionally omit important details, misinterpret field labels, or use language that does not fully reflect the purpose of a field. Always review generated content before adding it to official forms or instructional materials.
