Prepare Your SoftChalk Content for CourseArc Migration

Overview

To support a smooth transition from SoftChalk to CourseArc, please use the steps below to organize and share your SoftChalk Cloud content. Clear folder organization helps the migration team quickly locate your lessons and migrate them accurately. 

Step 1: Create a Main Folder with Your Name and abc123 

  1. Log in to SoftChalk Cloud.
  1. Go to My Content, then select Lessons.
Under “My Content,” the “Lessons” tab is highlighted with a red outline and labeled with a step indicator “1.”
  1. In the left Actions menu, select Create Folder.

  1. In the Create Folder pop-up window, name the folder using your first and last name and abc123 (for example, Joe Smith (abc123) ), click Confirm.

This folder will serve as the main (top-level) location for all courses included in the migration.

Step 2: Create a Folder for Each Course 

  1. Open the main folder you created with your name and abc123.
  2. Following the steps in Step 1, create a folder for each course that contains SoftChalk lessons. Name each course folder using a consistent format, such as SPRT 1013: The History of Rowdy.
Inside the “Rowdy Roadrunner (abc123)” folder, a table lists one item titled “SPRT 1013: The History of Rowdy.”

Step 3: Move Lessons into the Appropriate Course Folders 

  1. Navigate to a Lesson that would be associated with one of your courses.
  1. Click on the Move icon on the right-hand side.

Tip: You can move multiple lessons at once by clicking on the checkboxes to the left of the lesson title, and then selecting Move from the top of the list.

  1. From the pop-up box, locate the Course Folder associated with the lesson(s), and select Move Here.
In the move dialog, the “Move Here” button is highlighted and labeled with step indicator “1.”
  1. Continue this step until all lessons have been moved to the appropriate course folders.

Step 4: Share the Main Folder with Academic Innovation

  1. Locate your main folder, with your name and abc123, and click on the Share icon on the right-hand side.

  1. Using the "search for users by their name or username" field, enter: coursearc.migration
  2. After a few seconds, select the Migration, CourseArc (coursearc.migration) account to add it to the "Sharing with" box.
  3. Click Save.
In the sharing dialog, a username is entered in the search field (step 1), a matching user result is selected (step 2), and the “Save” button is highlighted as step 3.

Step 5: Submit Your Migration Request

  1. Navigate to the SoftChalk Cloud to CourseArc Migration Request form.
  2. Select your appropriate CourseArc Access option.

  1. In the content migration box, enter: SoftChalk Content has been shared with coursearc.migration.

  1. Confirm the Course Names that need to be migrated.

  1. Enter any additional comments, if needed, and click Submit. You will receive a confirmation email and a ticket number for this request. All future communication regarding this request will be shared via this ticket. You can view the latest status and comments by visiting the ServiceNow My Portal.
